The following letter was going to be sent to members but has been delayed for a few weeks because Athletics Victoria is working on their Members Portal which means online entries have been unavailable.  We are hopeful the portal will be working again soon.

St John First Aid

Hi Kylie Murray,

We would like to extend a big thank you to Traralgon Harriers Athletics Club for previously booking St John Ambulance.

Thanks to the help of organisations like yours, the proceeds received in 2015 contributed to the training of more than 150,000 Victorian school kids in life saving First Aid, at no cost to school or parent. We now aim to set the bar even higher and reach 175,000 in 2016!

It is through the generosity shown by valued previous partners such as you that we are able to achieve these results.

With this in mind, we would like to extend an offer to once again partner with St John Ambulance Victoria, and have us be the First Aid provider at your next event.

Urgent CLUB COMMS 2 Follow up

Dear Traralgon Harriers Athletic Club

 

Following on from my email last night I have received a couple of great questions about ‘pending members’ and also eligibility member lists for Jells Park.  Apologies that I did not cover it off in the email yesterday.

 

1.      Club membership lists will be provided to all clubs by email on a daily basis :-

Thursday 7th April by Midday

Friday 8th April by Midday

Monday 11th April by Midday

Tuesday 12th April by Midday and then

Wednesday 13th April by 10am to make sure Clubs have sufficient time to complete entry lists for Jells Park which are due in by MIDDAY 13th April. No late entries will be accepted.

 

REMINDER if a member is having problems completing the membership form online for whatever reason they must contact AV before MIDDAY Wednesday 13th APRIL to ensure their membership application will be processed.  There will be no LATE membership applications processed after MIDDAY 13th April.

 

2.      The Membership lists will contain all ACTIVE and PENDING members. Before the system was taken down some clubs have members in their portal to approve. They will be considered members and will be included in the Club Membership lists that will be provided to clubs as mentioned.

 

3.      To be 100% clear every membership application received up until MIDDAY Wednesday 13th April whether submitted in the online system (which is not shut down) or via the temporary website member application form will :-

a.      automatically be eligible to compete for your Club at Jells Park relays and

b.      will be issued with a BIB (which will now be allocated manually) with the membership pack to be handed out at Jells Park Relays.

 

I hope this clears up some of the concerns raised and please feel free to contact me if you have any more questions or concerns.

URGENT Communication Re Online Portal

Dear Traralgon Harriers Athletic Club

The AV Online member and club portal has been shut down this afternoon for maintenance after a systemic problem was identified by MYRIAD IT. The problem has been causing random ‘error messages’ for clubs and members which cannot be fixed without taking the site offline.  We are extremely frustrated and aware of the affect it has on Clubs and members and at this point in time we do not have a confirmed date from Myriad as to when the system will be back live.

To ensure that members and clubs are able to participate in the first round of XCR Relays at Jells Park on Saturday 16th April, we have set up an online membership process and email event entry process.

For Team Managers:-

Jells Park Relay Event Entry. Clubs will receive a template for relay entry into Jells Park from Travis. Clubs can enter the number of teams they wish to enter into Jells Park Relays and then email their club entry back to Travis at travis@athsvic.org.au.  Once entries are received Clubs will then be invoiced for team entries. 

The closing date and time for Club relay team entries has been extended and is now

MIDDAY Wednesday 13th April 2016. No late entries will be accepted

**Payment is not required by Clubs at the time of entering teams. Invoices will be sent to Clubs.

** Reminder that if you enter a team now but you are a DNS on the day at Jells Park, Clubs will still be charged the team entry fee.

 

AV Membership.  We want to make sure that as many of your club members are eligible to compete at Jells Park.

For members who have not yet completed their AV membership: -

·        We have set up an online membership form via a secure password protected link on the AV website

CLICK HERE TO REGISTER FOR AV MEMBERSHIP

·        Enter the following password                    AVmember2016

·        Complete this form and hit the SUBMIT button which will automatically send an email to AV with your membership details. NO PAYMENT DETAILS ARE RQUIRED AS THIS POINT.

 

Once the email is received by AV you will be classified as a registered member and eligible to compete at Jells Park.

 

AV will contact you to arrange payment which will include your AV Based membership fee and any package(s) selected and your appropriate CLUB fee.

To be eligible to compete at Jells Park, this form must be completed and submitted to AV by MIDDAY Wednesday 13th April 2016. No late membership forms will be accepted.

 

I will keep you informed of the progress of the Online Member and Club Portal.

AV Membership Model - Update Version 2

Dear Traralgon Harriers Athletic Club

Thank you to those Clubs that contacted me directly with feedback and constructive suggestions on the membership model.  Clubs that have contacted AV have welcomed the split season and package options now available to the membership.  There was concern raised over the increase in fees for DUAL athletes. This has been reviewed based on the feedback and the Athletics Victoria Committee has approved the following changes:-

Based AV Membership                   $50                       (was $60)

XCR Package                                     $55                       (was $75)

Track & Field Package                    $55                       (was $75)

Max Pack (Both)                              $75                       (was $125)

 

This season there were 563 dual athletes registered with 47 competing in XCR, 40 in both XCR and Track & Field and 476 competing in Track & Field only. Reminder that the dual membership is for a maximum period of two consecutive years.

 

In addition, the MAX PACK for Juniors will decrease to $150. A full list of all fees can be downloaded HERE and the Membership Model pack has been updated to reflect the changes.

Clubs also asked about the possibility of a “5 week track & field package” that would cater for members who join mid-summer season. Great idea – thank you. I have asked the Shield Committee to look at any rule changes that may be necessary around eligibility and qualification but we will start the process of having this option available online – but unfortunately it will not be available on the 1st April 2016 when the new portal goes live. We will make sure all Clubs are advised when the option is ready to select.

 

Providing the packages and opening up the membership has meant both an increase and decrease in fees paid by members compared to last season depending upon what package is selected.  The membership fees are re-invested back into the sport to fund not only the competition and events that members participate in but also programs including Club Connect, Victorian Officials, Coaching Education Framework along with event and club promotion and marketing to encourage more people to join a club.

The Membership Model pack will be sent out to the membership next week. Again I thank those clubs who provided direct feedback.

 

I also need to remind those Clubs who have not completed the required documentation for the Club Connect program that it was due on 31 January 2016.  The Club Connect program was set up to help and assist Clubs to meet the certain requirements to protect not only the Club but your members.  Clubs were provided with the appropriate templates to complete after the various presentations were conducted across the State within the last 12 months.

Stage 2 of Club Connect will commence later this year and will provide the next level of assistance to Clubs in such areas as succession planning, communication and recruitment. In addition, we are preparing a Digital and Online product to help Clubs with their online presence which we are aiming to launch this season.

Victorian Country Championships - Geelong - Friday 22 till Sunday 24 Jan 2016 - Club Duty Roster

The Victorian Country Championships are now just a few days away -  set for Friday 22 through to Sunday 24 January 2016 at Geelong.

Club helpers are required to sign in at the Officials Room – WJP Wood Pavilion

Following on from the email from Glenn Turnor – AV CEO:

 

-        Club helpers will need to sign in prior to each duty.

-        Club helpers will be provided with food and refreshments during their appropriate duty period. Please ensure that dietary requirements are included when submitting in names of Club helpers

-        If a club is sharing a duty roster, each club member will be required to sign in.

** If duties are being shared we would ask you sign in at least 10 mins before your pre-arranged changeover time so that you can get to your allocated position.

 

A reminder also of some safety requirements:-

-        All club helpers must wear enclosed shoes  - no thongs, open sandals are permitted and no exceptions. If a club helper signs in and does not have enclosed shoes then the duty will be considered  ‘not fulfilled’.

-        Club helpers are reminded to make sure they are sun smart. Please bring a hat or long sleeve shirt and/or appropriate clothing. Sun screen will be provided.

-        Reminder that children are not permitted on the field of play if you are completing your duty

-        If you have any medical condition please make sure that you make us aware when completing the duty form.

 

There are sanctions under the rules relating to club duty. Clearly this is not our preference and in the past the enforcement of the rules has been relaxed until now. “Clubs failing to comply may be fined $200 per championship”.

 

If you are no longer a club contact, please  pass this onto the appropriate  person and advise  accordingly so that our files can be updated.

A busy period of track and field is upon us and entries for both AV Knockout Round 2 (excluding 800m/1500m events) and the Victorian Country Championships close at 11:59pm this Sunday 10 Janunary, 2016.

Are you ranked in the top 32 for your event(s) age group? It's time to check-out the AV Rankings here.

If yes - AV Knockout Round 2 on Sunday 24 January at Lakeside Stadium will provide you the opportunity for great competition and a chance to qualify for the AV Knockout Finals.

Reminder: AV Knockout Round 2 800m/1500m events will run as part of  the Victorian Milers Club Meet 3 on Tuesday 19 January at Box Hill.

Country Regions set to go head-to-head in Geelong

Over 700 athletes will descend on Geelong across the Australia Day long weekend (Friday 22- Sunday 24 January) for the Victorian Country Championships 2016 at John Landy Athletics Field.

Entries Close: 11:59pm Sunday 10 January, 2016 – No late or on day entries will be accepted. If you are experiencing problems entering summer@athsvic.org.au or call (03) 8646 4500 before the closing deadline.
